1. Acceptance of Terms

These Terms and Conditions ("Terms") constitute a legally binding agreement between you ("Client," "you," or "your") and Lexnan Ventures LLC, doing business as Trina's Concierge & Catering ("Company," "we," "us," or "our"), governing your access to and use of our website at trinacc.com (the "Site") and all concierge, catering, and related services we provide (collectively, the "Services").

The specific scope of Services for each engagement is defined in a separate written service proposal or agreement ("Service Agreement") provided prior to booking confirmation. In the event of any conflict between these Terms and a signed Service Agreement, the Service Agreement shall control with respect to that engagement.

We reserve the right to modify, suspend, or discontinue any Service at any time, subject to honoring commitments made under confirmed bookings.

3. Booking & Reservations

3.1 Inquiry & Proposal

All bookings begin with an inquiry submitted via our Site, by phone, or by text message. We will respond with a customized proposal outlining the scope, pricing, and availability. Submission of an inquiry does not constitute a confirmed booking.

3.2 Booking Confirmation

A booking is confirmed only upon: (a) your written or electronic acceptance of our Service Agreement or proposal, and (b) receipt of any required deposit as specified therein. We cannot hold dates or guarantee availability until both conditions are satisfied.

3.3 Event Details & Changes

You are responsible for providing accurate event details, including guest count, venue information, dietary restrictions, and special requirements, no later than the deadline specified in your Service Agreement. Changes requested after confirmation are subject to availability and may result in additional fees.

3.4 Guest Count

A guaranteed minimum guest count is typically required by the deadline set forth in your Service Agreement. Final invoicing will be based on the guaranteed count or the actual guest count, whichever is greater, unless otherwise agreed in writing.

3.5 Venue Access

Client is responsible for ensuring the Company has timely and adequate access to the event venue for setup, service, and breakdown. Any delays caused by restricted or late venue access that result in additional labor or costs may be charged to the Client.

4. Cancellation & Refund Policy

4.1 Cancellation by Client

Cancellation policies are specified in your Service Agreement. In general, the following schedule applies unless otherwise stated:

  1. More than 30 days before the event: Deposit is non-refundable; no additional cancellation fee.
  2. 15–30 days before the event: Deposit plus 25% of the total contract value is non-refundable.
  3. 7–14 days before the event: 50% of the total contract value is non-refundable.
  4. Less than 7 days before the event: 100% of the total contract value is non-refundable.

All cancellation requests must be submitted in writing. Cancellations are effective upon our written acknowledgment.

4.2 Cancellation by Company

We reserve the right to cancel a confirmed booking due to circumstances beyond our control, including acts of God, severe weather, venue unavailability, or public health emergencies. In such cases, we will provide a full refund of any amounts paid and make reasonable efforts to assist you in finding alternative services.

4.3 Postponements

Requests to postpone an event are subject to availability and must be made in writing. A postponement fee may apply. Deposits may be transferred to a rescheduled date at our discretion if the new date is within twelve (12) months of the original event date.

4.4 No-Shows

If you fail to appear or make the venue available on the event date without prior written notice, the full contract value will be forfeited.

5. Payment Terms

5.1 Deposit

A non-refundable deposit (typically 25–50% of the total estimated contract value, as specified in your Service Agreement) is required to secure your event date. No date is held without a paid deposit.

5.2 Final Payment

The remaining balance is due no later than the date specified in your Service Agreement, which is typically seven (7) to fourteen (14) days prior to the event. Services may not be rendered until payment is received in full.

5.3 Accepted Payment Methods

We accept major credit cards, debit cards, bank transfers (ACH), checks, and other payment methods as communicated during the booking process. All payments must be made in U.S. dollars.

5.4 Late Payments

Balances not received by the due date may be subject to a late fee of 1.5% per month (or the maximum permitted by applicable law, whichever is less) on the overdue amount. We reserve the right to cancel a confirmed event if payment is not received within five (5) business days of the due date, subject to the cancellation terms above.

5.5 Additional Charges

Charges for additional services requested on the day of the event, increases in guest count above the guaranteed minimum, extended service hours, or extraordinary cleanup may be invoiced after the event and are due within ten (10) business days of invoice.

5.6 Taxes

Applicable state and local sales taxes, food and beverage taxes, and service charges will be added to your invoice as required by law. Pricing quoted in proposals is exclusive of taxes unless expressly stated otherwise.

6. Client Responsibilities

As the event Client, you agree to:
